Syöte Booking Centre's booking terms 

These booking conditions set out the terms of your contract with us, Syöte Booking Centre (further mentioned as booking centre). The contract exists between you and the booking centre and all conditions become binding once you have completed the booking.

If you have booked the Aurora, Bear Cave or Eagle View Suite, check out the special terms located at the end.

Reservations and payment

The booking must be made by an adult (at least 18 years old). By making a reservation the client accepts the booking terms and conditions.

The reservation can be made online and confirmation of the reservation will be immediately sent to the customer's email. When booking online at least the deposit (30% of the accommodation price) or the full payment and a 16 euro service fee needs to be immediately paid to accomplish the online booking. The method of payments are credit cards (Visa and
Mastercard) as well as a Finnish online bank. If the booking is made less than six (6) weeks prior to the start of the stay, no separate advance payment as deposit will be charged, only the full amount. After the payment has been made the customer must return from the payment service back to the reservation system to confirm the booking. Booking confirmation and possible final payment will be sent to the email immediately after the booking is made.

Reservations may also be made by e-mail or by telephone. In this case Syöte Booking Centre will send the customer a booking confirmation and invoice(s) by email. The advance and final payment must be paid by the due date mentioned on the invoice before the holiday begins. If the reservation is made later than 6 (six) weeks before the start of the stay, no prepayment will be separately charged, only the full amount. Non-payment is not a cancellation.

A service fee of 16 euro will be added to all bookings. The invoice is paid with SEPA payment (IBAN account number and bank BIC code) using the reference number on the invoice. All remarks concerning invoices must be reported within 7 days of the invoice issue date.

The reservation confirmation message contains the caretaker's contact information and directions which allows the customer to find the key pick-up point and lodging location. On arrival the customer must be able to present payment receipts. If the customer made the reservation through a travel agency then the travel agent booking confirmation needs to be shown.

Cancellation of the booking

Should you want to cancel your booking you must always do so in writing by e-mail to keskusvaraamo@syote.fi. The cancellation will take effect from the day we receive your written notification. A cancellation received outside office opening hours (Mon-Fri, 9am to 5pm) is deemed to have taken place on the following business day.

If we receive your cancellation:

  • more than 28 days before the start of your holiday, we will refund your deposit reduced with a 30 euro cancellation fee and a 16 euro service fee
  • less than 28 days but more than 14 days before the start of your holiday, we will charge you 30% of the total price and a 16 euro service fee will be charged
  • less than 14 days before the start of your holiday or in case of no-show, we will charge you the total price. Non-payment is not a cancellation.
  • If the customer cancels the booking and exits the resort before the rental period ends, compensation will not be paid.

If your cancellation is due to sudden illness / injury / death of a close relative or your travel party, we will refund you your payment reduced with a 100 euro cancellation fee and 16 euro service fee. The event must be immediately reported to Syöte Booking Centre and proved with a reliable document, e.g. a doctor's certificate. If cancellation is made after the rental has begun, no compensation will be refunded. In such cases you can possibly apply for a compensation from your insurance company.

All bank fees for refunding the payment will be charged to the customer. .

Changing your booking

If the customer changes bookings (destination, dates, extra services) Syöte Booking Centre has right to charge for this by the resulting change fee of 30 €. The change must be made no later than six (6) weeks prior to the start of the stay. This subsequent amendment to the previous booking will be held as a cancellation and a new booking.

Syöte Booking Centre's right to cancel the booking

Syöte Booking Centre reserves the right to cancel the booking in case of forces of nature or other reasons out of the booking centre's control such as e.g. fire and/or water damages of the booked accommodation. In this case we will notify you of the cancellation immediately and refund all payments. The booking centre can also suggest a similar accommodation, but not must do so depending on situation. Any possible customer expenses will not be covered if the contract was terminated due to force majeure reasons. Syöte Booking Centre reserves the right to cancel the booking in case the payments are not fulfilled on time.

Staying at the cottage

The check-in time is earliest at 16:00 and the check-out is latest by 12:00. In some cases on Sundays check-in time is earliest at 18:00 and check-out latest by 15:00. Please check your booking confirmation e-mail for the  check-in and check-out times, key pick-up point as well as instructions for late arrival. If the customer does not arrive at the stated time or does not give notice of an exceptional time, Syöte booking Centre can not guarantee the transfer of keys. It is the customer's responsibility to check the instructions given in the booking confirmation and act accordingly. There is only one key per cottage at your disposal.

The rental includes a reserved holiday property for a reserved time. Normal energy costs, standard furniture, cooking and dining facilities and tableware as well as mattresses, blankets and pillows are included in the rental price. Other items included in the price are indicated by the booking information. Linen and towels are not included in the price (unless otherwise indicated) but they must be used. Linen and towels can be booked at an additional cost. Each cottage has its own hot water boiler. Please use hot water economically so that the next person who showers will also have hot water. Please note: in the cottage when switching on the sauna heater it automatically cuts off the heating of the cottage. There are small amounts of dishwasher detergent and toilet paper. Please check from the booking confirmation whether wood for the fireplace is included in the price or not.

The accommodation is cleaned before the customer's arrival. You are responsible for cleaning the accommodation during the stay. Please check the details found on the booking confirmation whether the final cleaning is included in the rental price. If the final cleaning is not included in the price, the customer will take of the final cleaning himself or can book the final cleaning for an extra charge. Even though the final cleaning is included in the price or booked with an extra charge, the customer is responsible for washing the dishes, taking out the household garbage, empty bottles and cans and putting the furniture in place.

The number of persons

The number of persons staying at a cabin or apartment should not exceed the number given in your invoice. Tents or caravans on the building site are not allowed without a separate agreement.

Breakage and cancellation because of disturbance or dangerous behavior

The customer is bound to notify the booking centre for any damages of the cottage or movable property in the cottage. If the customer does not stop causing disturbance/dangerous situations of his/her fellow neighbors, the booking centre has the right to terminate the tenancy agreement. The customer will be liable for all expenses occurred.

Force majeure

Syöte Booking Centre is not responsible or liable for damages both before or during the stay caused by an unpredictable or extraordinary event (force majeure) or other unforeseeable reason (eg. natural phenomena, exceptional weather, political or religious events, or animals, such as mice and insects) that the Syöte Booking Centre or affiliated representative could not have prevented even through utmost care.

Complaints

Should you have any cause to complaint about the booking or state of your holiday accommodation you must immediately inform the caretaker of the complaint for remedial action. Do not allow your holiday to be spoiled due to some fault or problem which your caretaker is able to fix immediately. If the caretaker is unable to fix the problem, please contact Syöte Booking Centre's office, tel. +358 8 823 400, Mon-Fri 9 am-5 pm or by e-mail keskusvaraamo@syote.fi Should a problem remain unsolved you should make your complaint in writing, for continued handling, to Syöte Booking Centre within a week's time after your booking has ended. Should we not be able to settle things amicably, you are entitled to have the dispute arbitrated at the Finnish Consumer Complaint Board. If you haven't contacted the caretaker during your holiday in order to fix the problem, Syöte Booking Centre is not obliged to give any compensation.

Invalid price information

Invalid price information does not bind Syöte Booking Centre to fulfill its obligations. This is for instance the case if the difference between the indicated price and the actual price is very high or the wrong price can be considered to be abnormally low compared to the general price level.

 

Special conditions: Aurora, Bear Cave and Eagle View Suites

Booking and payment conditions
The booking must be made by an adult (at least 18 years old).
The booking can be made online and confirmation of the reservation will be sent immediately to the customer's email. The customer must pay the full payment including the service fee of 16 € to successfully accomplish the online booking. Methods of payment are online banking or credit card (Visa and MasterCard). After the payment has been made, the customer must return to the booking system to confirm the reservation. The confirmation will be sent to the customer mentioned email immediately after making the reservation.
The booking can also be made by e-mail or phone call through Syöte Booking Centre. In this case the customer will receive an invoice by e-mail. Payment must be paid in full immediately to confirm the reservation.

Cancellation and modification of the reservation.
Should you want to cancel your booking you must always do so in writing by e-mail to keskusvaraamo@syote.fi

  • If the reservation is cancelled before the rental period due to a sudden illness, accident or death that has occurred to the customer or his / her immediate family, the customer has the right to reimbursement of the price paid for the service minus 100 € as cancellation fee and 16 € service fee. The event must be reported immediately and presented with an acceptable explanation eg a medical certificate.
  • If the reservation is cancelled for any other reason, the price of the reservation will not be refunded.
  • If cancellation is made after the beginning of the rental period, the price of the reservation will not be refunded.
  • In case of no-show the price of the reservation will not be refunded.
